Assistant on your documents: on the web and in-house

One assistant, two entrances. It answers customers on your website from your price list and terms, after hours and at weekends. It answers your staff from policies, manuals and meeting minutes. Always with a link to the source, and always on a computer at your company.

For customers: answers on your website

How long delivery takes, what a service includes, how to file a complaint, what the terms are. The answers are usually somewhere in your documents, price list or terms and conditions. But customers want them right away, often in the evening or at the weekend when nobody is by the phone.

How the website assistant works

  • Answers from your documents. Not from the internet, but from what you give it: price list, terms, manuals, FAQs.
  • Cites the source. Every answer includes a link to where the information comes from, so the customer can check it.
  • Works around the clock and says it is AI. It answers after hours and at weekends, and it is clear from the first message that it is an assistant, as the EU AI Act requires.

We use the assistant on this website too; you'll find it in the bottom right corner. Conversations with it are processed by our own system on a computer in our office and are not passed to any external chat provider. The only thing that leaves is the connection from your browser through the Cloudflare network.

For your staff: answers from policies and minutes

How a business trip is approved, which procedure applies to a complaint, where the latest price list is, what was agreed with a customer last time. The answer usually exists somewhere: in a policy, a manual, meeting minutes. Finding it takes time, so people ask the colleagues who know, and those colleagues answer the same questions instead of doing their own work. New hires feel it most.

  • Answers from your documents. From the policies, manuals, contracts and minutes you give it, with a link to the source.
  • Helps with onboarding. New hires ask the assistant instead of colleagues.

Decisions and oversight always stay with your people. The assistant finds and summarises what your documents say; what to do about it is decided by a person.

What it cannot do

It won't answer what isn't in your documents, and it says so. It answers only from the sources: if your documents hold an old price list, it answers from that, so the sources need upkeep. Pictures and charts inside documents are beyond the local model; it reads their text only. It doesn't take orders or change data in your systems; it only answers. And on the website it can't tell when a competitor is asking.

Chatbots and the EU AI Act

Under the EU AI Act, people must know they are talking to AI. A chatbot has to say that it is one. We therefore deploy the assistant so that this is clear from the very first message. You can read more about what the law requires of companies on our EU AI Act for companies page (in Czech).

Data under control

  • Your data is never used to train third-party models.
  • The assistant runs on a local model on a computer at your company, including document search. The source is the files in your Microsoft 365, where they already are.
  • What leaves your company for each service is in the table of where each kind of data goes. For the in-house assistant nothing beyond Microsoft 365, where the files already are; for the website assistant only the connection through Cloudflare.
  • For personal data we sign a data processing agreement.

What builds on the assistant

Questions the assistant can't resolve, and emails that arrive outside the website, are handled by the smart company inbox (details in Czech). It sorts them and drafts replies to recurring questions.

How we start

We start with a free audit at your company. We look at what customers ask about, where you keep the answers and how much of your people's time it takes. Then we propose what we trial free for 14 days and what we measure after 14 days.

In the free pilot we set the assistant up on your documents and trial it for 14 days. On day 14 of the pilot you get a no-obligation quote with the measured savings and the price of running it. If you say yes, we launch it on your website and keep looking after it.

What companies ask about the assistant

What documents can we give it?

PDF, Word, Excel, presentations, meeting minutes, website pages. We read the text in them, and in scanned paper documents, locally; pictures and charts inside them we do not. The more up to date the sources, the better the answers.

What if the assistant gets it wrong?

Every answer links to its source, so a mistake can be traced and fixed in the documents. On the website the assistant makes no promises on your behalf; for prices and dates it points to the document it draws on.

Does it have to be clear on the website that it is AI?

Yes, the EU AI Act requires it. We deploy the assistant so that this is clear from the very first message. More on our EU AI Act for companies page (in Czech).

More questions, such as what it costs or what happens to your data, are on the home page.
